Privacy policy
1. What we collect
| Data | When | Why |
|---|---|---|
| Name, e-mail, company, billing country, VAT or tax ID (optional) | When you place an order | Process the order, send e-mails about it, issue the invoice, keep accounting records |
| Your brief: target URL, anchor text, topic, keywords, notes, or your own text | When you place an order | Write or review the article and publish your link |
| Your own article file (Word), text and JPG photos, if you provide them | When you place an order | Publish your content. Photos are re-compressed on upload, which removes camera metadata. Unused uploads are deleted after 3 days |
| What you dictate or type to describe your link | When you use the voice or free-text box | Fill in your brief automatically. Dictation is handled by your browser's speech service (for example Google in Chrome). The text is then sent to OpenAI to extract the fields. We do not keep the audio, and you can always type instead |
| Messages you send about a draft (approval, change requests) | During the order | Deliver the service and keep a record of what was agreed |
| A hashed version of your IP address | When you start a checkout | Prevent abuse and fraud. We do not store the address itself |
We do not collect your card number. Payment details are entered on a secure page hosted by Stripe. Browsing the catalogue does not require an account.
2. Cookies and similar storage
We do not use advertising or analytics cookies. The catalogue keeps your cart in your browser for the duration of the visit (session storage), so that it survives a page reload. It is not sent to us until you check out.
3. Who receives your data
- Stripe: processes your payment under its own privacy policy.
- Brevo: sends our order e-mails (confirmation, draft ready, link live).
- OpenAI: receives the content of your brief (subject, keywords, links and notes) to help draft your article.
- Our hosting provider: stores the order database and the website.
- The news site where your article is published: your link, anchor text and article become public there. Your name and billing details are not published.
We do not sell your data and we do not use it for advertising. Some of these providers operate outside Hong Kong and the European Economic Area and handle data under their own safeguards.
4. How long we keep it
We keep order records for as long as we need them to run the service, answer questions about an order, and meet our accounting and legal obligations. Your brief and messages are kept with the order. When a retention need ends, we delete or anonymise the data.
5. Your rights
You can ask us for a copy of your data, to correct it, or to delete it where the law allows. If you are in the European Union, the United Kingdom or another place with data protection rights, you may also object to or restrict some processing and complain to your local data protection authority. Write to support@citedgate.com with your order number and we will answer within a reasonable time.
Published articles are public content on third-party news sites. If you ask us to remove your link, see our terms of sale for how long links stay online.
6. Security
Your order page is reached by a private link that only you receive. Payments go through Stripe and the site is served over HTTPS. No system is perfectly secure, so please keep your order e-mails private.
7. Changes
We may update this policy. The date at the top tells you when it last changed. Questions: support@citedgate.com.
